Zoho CRM's own Workflow Rules can send a webhook the moment a record is created, edited, or matches a condition — a native path, independent of Zapier.
Before you start
A LettrLabs Open API key and an inbound webhook connection (see Setup Guide: Open API & Webhooks).
A Zoho CRM account on Professional edition or above (webhook actions on Workflow Rules require this).
Step 1: Create your LettrLabs webhook connection
In LettrLabs, go to Automations > Open API to generate an Open API key.
Go to Active Webhooks > Data Streams (Inbound) > Create, name the connection (e.g., "Zoho CRM"), and copy the Webhook URL.
Turn on OpenAPI Key authentication.
Step 2: Configure the webhook in Zoho CRM
In Zoho CRM, go to Setup > Automation > Actions, select the Webhooks tab, and click Configure Webhook.
Choose the Module (Leads, Deals, Contacts, etc.), name the webhook, set the URL to Notify to your LettrLabs Webhook URL, and set Method to POST.
Under Headers, add a Custom Parameter named
X-API-KEYwith your Open API key as the value.
Step 3: Attach the webhook to a Workflow Rule
Go to Workflow Rules and create (or open) a rule for the same module.
Set When do you want to execute this rule? to the record action or condition you want (e.g., Deal Stage changes to Closed Won).
Under Instant Actions, select the webhook you created in Step 2.
Save the rule.
Step 4: Test and confirm receipt
Trigger the workflow rule (edit a test record to match its condition) and check the History tab on your LettrLabs webhook connection.
Step 5: Wire the connection to a mailing and map fields
Open the Automation (Integration Order) or Radius Mail setup, select the Zoho CRM connection, choose the action, and map fields from the test payload — using Zoho's Module Parameters (dynamic field values) if you configured the webhook body with specific fields, or the full record if you didn't.
Step 6: Go live
Save the webhook connection with a name and confirm the workflow rule is active.
