Setup Guide: AccuLynx

How to connect AccuLynx and trigger mail from job/contact data.

AccuLynx is job-management software built for roofing and exterior contractors. Connecting AccuLynx to LettrLabs syncs your Jobs and Contacts into LettrLabs' Data Integration pipeline, so you can automatically trigger handwritten cards and printed mail off real job activity — a completed roof, an approved estimate, an invoiced project — instead of manually building mailing lists.

This guide walks through connecting your AccuLynx account, understanding what data syncs, and building your first job- or contact-triggered mail automation.

Before you start

  • AccuLynx is available on the Core plan tier and above. If you're on a lower tier, you'll see an upgrade prompt instead of the connector.

  • Admin access to your AccuLynx account, so you can generate an API credential for LettrLabs to use (see Step 1).

  • At least one completed, approved, or invoiced job in AccuLynx — LettrLabs triggers off job and contact records that already exist in your AccuLynx account, so the more history you have, the more useful your first automation preview will be.

Step 1: Connect your AccuLynx account

  1. From your LettrLabs dashboard, open Automations and find the AccuLynx tile among the available Data Integration connectors.

  2. Click the AccuLynx tile to open the connection form. Give the connection a Name you'll recognize later (for example, "AccuLynx – Main Office").

  3. Enter your AccuLynx API Key in the field provided.

  4. Click Test and Connect. LettrLabs sends your credential to AccuLynx to confirm it's valid before saving anything.

Unverified: the exact steps to generate an AccuLynx API key from inside your AccuLynx account (which settings page it lives under, what AccuLynx calls the field, and whether it requires a specific AccuLynx user role/permission) have not been confirmed against a live AccuLynx account. This draft assumes a single "API Key" credential based on the connector's configuration form, but the AccuLynx-side generation steps need a walkthrough with a real AccuLynx sandbox or production account before this section is published as-is.

Step 2: Wait for the connection test

After you click Test and Connect, the connection moves through a short background check:

  • The screen shows a Connecting state while LettrLabs verifies your API key against AccuLynx.

  • If the test succeeds, you'll see a success screen with an option to continue.

  • If the test fails (for example, an invalid or revoked API key), you'll see an error screen. Click back into the form, correct the API key, and click Test and Connect again — you don't need to start over.

Step 3: Activate the integration

Once the test succeeds, click Activate. This is the point where LettrLabs actually creates the live data connection and AccuLynx begins syncing into LettrLabs. Your integration now shows as Active in your list of connections.

Step 4: Let your first sync complete

After activation, AccuLynx data begins syncing on its scheduled cadence — this isn't an instant, one-time import, and it isn't something you trigger by hand from LettrLabs. You'll see a Sync in Progress indicator on the integration while the first sync runs, which can take a few minutes depending on how much AccuLynx history you have. Once it completes, the integration shows its most recent sync date and status.

Two record types sync from AccuLynx and are available to build automations against:

  • Jobs — job number, name, priority, current milestone and milestone date, work type, job category, lead source, and the job site (location) address. Job records sync incrementally based on when a job was last modified in AccuLynx, so updates (a milestone change, a new completion date) flow through on later syncs without a full re-pull.

  • Contacts — name, company name, billing address, mailing address, and associated email. Contact records also sync incrementally, based on when the contact was created in AccuLynx.

Behind Jobs and Contacts, LettrLabs also pulls supporting AccuLynx data used to build richer filters and reporting: job-to-contact relationships, job trade types, contact email/phone details, estimates and estimate line items, invoices, financial summaries, and milestone history.

Step 5: Address validation happens automatically

Once job and contact records sync in, LettrLabs automatically runs their addresses through address validation and standardization in the background — you don't need to do anything to trigger this. Each Job's site address and each Contact's mailing/billing address gets a validation status. Automations use this status to avoid mailing to addresses AccuLynx has on file incorrectly or incompletely, so it's worth letting a sync fully settle before checking recipient counts closely.

Step 6: Build your first automation

  1. From Automations, start a New Automation and choose your AccuLynx integration.

  2. Choose an action:

    • Mail to Recipients — mails the AccuLynx Contact directly (the homeowner/customer on the job), using their mailing or billing address.

    • Radius Mail — mails neighbors around a Job's site address, rather than the contact themselves (see the Best Practices article for when to use this).

  3. Use the "Find me customers where…" filter builder to narrow which Jobs or Contacts qualify — for example, job completed date, job trade type, job category, or job approved value. Combine conditions with AND (all must match) and branch with OR (any group can match).

  4. Choose a card template and set up your touch cadence (you can send more than one mailer over time to the same qualifying record).

  5. Set sending options — monthly sending limits and (if enabled for your plan) resending and holdout testing.

  6. Choose any suppression audiences you want excluded.

  7. Use Calculate Preview to see how many recipients currently match your filters before you save, so you're not surprised by volume once the automation goes live.

Managing and disconnecting

You can revoke an AccuLynx connection at any time from the integration's menu. Revoking stops the sync; automations built on top of that connection stop pulling new recipients until you reconnect. Reconnecting doesn't delete your existing automations or templates — you'll pick up where you left off once a new sync completes.

Note: this Setup Guide describes the connect → test → activate flow and the data that syncs based on the LettrLabs Data Integration framework and AccuLynx's connector configuration in the LettrLabs codebase. It has not been walked through end-to-end against a live AccuLynx account (see the callout in Step 1) — flag any discrepancy you hit during real setup so this guide can be corrected.
